Terms of Use

1. Acceptance of terms

These Terms and Conditions (the “Terms”) govern your access to and use of the Keyslink mobile application, website, and related services (together, the “Services”) provided by DocuVault Solutions Limited (“Keyslink,” “we,” “us,” or “our”). By creating an account, accessing the Services, or selecting an acceptance control, you agree to these Terms. If you do not agree, do not use the Services.

2. Eligibility and account security

You must be legally able to enter into a binding agreement in your place of residence. You are responsible for providing accurate registration information, keeping your credentials confidential, and promptly notifying us of suspected unauthorized access. One-time passwords and other verification codes must not be shared with anyone.

Keyslink provides a digital-vault service that allows an account owner to upload documents, assign trusted recipients, and manage documents through the Services. The service may encrypt uploaded files, store encrypted content using third-party infrastructure, and record certain identifiers or metadata on blockchain infrastructure. The exact availability, features, and technical implementation may change.

4. User content and permitted use

You retain your rights in documents and other content you submit. You grant us and our service providers the limited rights needed to receive, process, encrypt, store, transmit, display, and provide the content as necessary to operate the Services and perform your instructions.

You must have the right and authority to upload each document and provide personal information about every recipient or contact. You must not use the Services to upload unlawful, infringing, fraudulent, abusive, malicious, or unauthorized content, or to violate another person’s privacy or rights.

5. Recipients and automatic release

You are responsible for selecting and maintaining trusted recipients and for checking their contact information. The Services may use login activity as a heartbeat. If the applicable inactivity threshold is reached, the service may automatically notify recipients and provide them with information, such as a content identifier and passcode, needed to request access to a released document.

You understand that automated release may be affected by incorrect contact information, delayed messages, technical failures, account activity records, or circumstances outside our control. Once information has been sent to a recipient or a document has been downloaded, we may not be able to recall, control, or delete every copy.

6. Blockchain and decentralized storage

Some document identifiers or metadata may be recorded on Polygon or another blockchain, and encrypted files may be stored through IPFS or a similar decentralized storage service. Blockchain and decentralized-storage records may be replicated, publicly observable, immutable, or difficult or impossible to remove. Deleting your Keyslink account does not necessarily erase a blockchain transaction, a content identifier, a decentralized copy, a recipient copy, or a copy saved outside our systems.

7. Availability and third-party services

The Services depend on networks and third parties, including authentication, cloud, email, push-notification, storage, blockchain, and file-sharing providers. We do not guarantee that the Services, notifications, blockchain confirmations, IPFS retrieval, or file downloads will always be available, complete, timely, or error-free.

8. Changes, suspension, and termination

We may update the Services or these Terms from time to time. We will provide notice of updated Terms where required. We may suspend or terminate access when reasonably necessary for security, legal compliance, misuse, or operational reasons. You may stop using the Services at any time and may request account deletion through the available in-app or external process.

9. Disclaimer of warranties

To the maximum extent permitted by law, the Services are provided on an “as available” and “as is” basis. We disclaim warranties not expressly stated in these Terms, including implied warranties of accuracy, availability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation.

10. Limitation of liability

To the maximum extent permitted by law, DocuVault Solutions Limited and its service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive loss, or for loss of data, documents, profits, business opportunities, or anticipated savings arising from use of or inability to use the Services. Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.

11. Governing law and contact

Subject to any mandatory rights that apply to you, these Terms are governed by the laws of Hong Kong. Questions about these Terms should be sent to [email protected].

Privacy policy

This Privacy Policy explains how DocuVault Solutions Limited collects, uses, shares, protects, retains, and deletes personal information when you use Keyslink and related Services. It should be read together with any just-in-time notices shown in the app and the Google Play Data Safety information.

1. Information we collect

  • Account and authentication data: name, email address, password-related information, one-time-password records, account status, tokens, and login or verification activity.
  • Profile and contact data: profile details, profile image, phone number, country code, relationship, email address, and notification-channel choices for contacts and recipients.
  • Document data: document files and their category, type, title, identifiers, reference number, description, remarks, recipients, status, transaction identifier, content identifier, and upload or processing information. Documents may contain sensitive personal, financial, legal, insurance, medical, or estate-planning information because that is the intended purpose of the vault.
  • Notification and device data: push-notification permission state, push token, device and operating-system information needed to deliver notifications, and notification delivery or error information.
  • Technical and support data: IP address, request timestamps, security logs, app version, error information, and information you provide when contacting support, to the extent collected by our systems or service providers.

We do not need access to your phone address book to use the in-app contact list. The app’s file and image pickers are used when you choose a file or image for a supported feature.

2. How we use information

  • Create and authenticate your account, verify OTP challenges, manage sessions, and protect account security.
  • Provide the vault, document upload, encryption, status, retrieval, sharing, and recipient-access features.
  • Store and manage contacts, recipients, document metadata, retention states, and deletion requests.
  • Monitor inactivity, send reminders, and operate the automatic release workflow you configure.
  • Send service, security, account, and recipient notifications requested or required for the Services.
  • Respond to support requests, troubleshoot incidents, prevent abuse, comply with law, and enforce our Terms.
  • Maintain, secure, and improve the Services using aggregated or appropriately protected operational information.

3. How information is shared

We do not sell personal information. We may share information only as reasonably necessary for the Services, including with:

  • Authentication, cloud, database, encryption, email, push-notification, file-processing, storage, and support providers acting on our instructions.
  • IPFS or decentralized-storage and Polygon or blockchain infrastructure when needed for document storage or proof-of-record features.
  • Recipients and contacts you select, according to the sharing and automatic-release actions you initiate or configure.
  • Authorities, professional advisers, or other parties where required by law, legal process, security, fraud-prevention, or corporate-transaction reasons.
  • Other parties when you direct or authorize the disclosure.

Third-party providers may process information in countries outside Hong Kong. We use contractual, technical, and organizational measures appropriate to the service and applicable requirements, but no internet transmission or storage system can be guaranteed completely secure.

4. Security

We use measures intended to protect information, which may include access controls, authentication, encryption in transit, encryption of uploaded files, protected key handling, logging, and service-provider controls. The backend may process encrypted files and key material to provide the Services. Keyslink is not a promise that a document can never be accessed, lost, corrupted, disclosed, or compromised.

5. Retention and deletion

We retain information for as long as needed to provide the Services, maintain security, complete user-requested workflows, resolve disputes, comply with legal obligations, and maintain necessary business records. Exact periods depend on the data type and the production backend’s retention schedule.

You can delete your account in the app or request deletion through the external process published at the Keyslink legal webpage. We will delete or de-identify associated information within a reasonable period, subject to information that must be retained for security, fraud prevention, legal, regulatory, backup, or dispute-resolution purposes. Information already sent to recipients, saved by users, stored on decentralized infrastructure, or recorded on a blockchain may not be fully recoverable or removable.

6. Your choices and requests

You may review or update certain profile information in the app, control push notifications through your device settings, and request access, correction, deletion, or clarification by contacting [email protected]. We may need to verify your identity before completing a request. Do not send passwords, OTPs, or document contents by email.

7. Children

Keyslink is not directed to children. Do not use the Services or submit personal information if you are not legally able to do so in your jurisdiction.

8. Changes and contact

We may update this Privacy Policy when our practices, Services, or legal obligations change. The latest version will be posted on the Keyslink legal webpage with an updated date. Disclaimer

Keyslink is a document-vault and document-release tool. It is not a law firm, financial institution, medical provider, estate-planning adviser, emergency service, or substitute for professional advice. Storing a document in Keyslink does not make the document valid, enforceable, current, complete, or legally effective.

You remain responsible for the accuracy and legality of your documents, the people you designate as recipients, your account credentials, and any legal, financial, medical, insurance, or estate-planning decisions you make. Obtain independent professional advice where appropriate.

We do not guarantee that encryption, authentication, notifications, IPFS, Polygon, cloud providers, email delivery, recipient release, blockchain confirmation, or file recovery will operate without delay, interruption, error, or security incident. Network outages, incorrect information, device settings, third-party failures, and events outside our control may affect the Services.

To the maximum extent permitted by law, DocuVault Solutions Limited makes no warranty regarding the accuracy, completeness, availability, security, fitness for purpose, or uninterrupted operation of the Services and is not responsible for copies or disclosures made by recipients or other third parties after information has been released or downloaded. Nothing in this Disclaimer excludes liability that cannot lawfully be excluded.
